Information about the position 

The Workplace Experience Team creates diverse, flexible, and engaging work environments across Vinted offices, warehouses, and verification centres. Our mission is to empower employees to choose the working approach that best suits their needs. We support hybrid working models by providing tools, infrastructure, and experiences that foster productivity, collaboration, and connection.

As a Workplace Experience Specialist, you will manage the day-to-day operations and facilities of our Kaunas office. You will work with the Workplace Experience Team to ensure Vinted’s workplace standards are consistently applied, identify opportunities for improvement, and drive continuous enhancement initiatives.

You will represent Vinted and the Workplace Experience Team as the local manager of our Kaunas hub, ensuring the office is well-maintained, clean, and fully stocked with supplies. You will coordinate maintenance needs when required, organise local events that strengthen community and connectivity within the hub, and help introduce the wider function to new joiners. In this role, you will work closely with the landlords and support the smooth day-to-day running of the office.

In this position, you’ll 

  • Oversee day-to-day office operations, including facilities and housekeeping, while identifying opportunities to improve the experience
  • Plan and monitor yearly budgets, track spending, and make operational decisions
  • Organise inclusive events that build culture and strengthen team connections
  • Handle business-as-usual tasks such as office support, data analysis, office tours, and onboarding presentations
  • Work in shifts in the Vinted online support portal, consistently striving for better results
  • Ensure compliance with legal, health, safety, and environmental standards
  • Manage ad hoc projects and operational challenges within your scope
  • Maintain a thorough understanding of Vinted-wide policies, including Business Travel,  Home Workstation Budget and others
  • Keep all Workplace Experience resources up to date: Confluence pages, welcome emails, etc.
  • Shape creative and inclusive communication across Slack and other internal platforms to foster engagement, connection, and belonging
  • Collaborate closely with People, Finance, Legal, IT, and other stakeholders
  • Primarily work from the Kaunas office

About you 

  • Fluent in both English and Lithuanian (mandatory)
  • Act as a strong advocate for the local hub, building community, awareness, and engagement positively and constructively
  • Have prior experience in facilities management, community building, workplace experience, or office management
  • Bring strong experience in vendor management, including working with landlords, cleaning providers, and catering services
  • Have prior experience in organising and delivering local initiatives and adapting company-wide events to the hub setting
  • Proactive, detail-oriented, and highly organised, with excellent time management and communication skills
  • Can work independently and thrive in a remote team setup, while maintaining strong collaboration with the wider global team
  • Demonstrate adaptability and a positive, solution-oriented mindset
  • Comfortable managing multiple priorities and ad hoc situations in a dynamic office environment
  • Communicate confidently with internal stakeholders across different teams
  • Take a hands-on approach and ownership of day-to-day operations as well as continuous improvements

The salary range for this position is 1,983 - € 2,683 gross per month.
